In Taino Solutions, you can find the Templates section by navigating to E-Signing -> Templates in the left-hand menu. From here, you will see a list of existing templates available for your agency.

E-sign templates can be created in two ways:
- From an Existing PDF Form Template – Select a pre-existing PDF document that already has field mappings in place. Learn more about creating custom PDF form templates and defining field mappings here.
- Upload From Computer – Upload a new PDF document without any pre-existing field mappings.
Both options follow the same workflow for creating an e-sign template, which includes two main steps:
Step 1: Entering Template Details
Once you make a selection or upload the document, you will be directed to the Template Details page. Here, you need to provide essential information about the template:
- Name – Assign a name to the template for easy identification.
- Description – Provide a brief description of the template’s purpose.
- Number of Signers – Define how many signers are expected for this document. Placeholders will be generated based on this number.
- Type of Document – Specify the document type. Examples include Agreements and Policy-Related documents.

Step 2: Designing the E-Sign Document
After entering the template details, you will be taken to the document design screen. This is where you add signature placeholders and other e-signing fields to the document.
- If you selected an Existing PDF Form Template, the document will already have field mappings in place. These mappings include fields for customer and policy data, ensuring the document is pre-filled accurately. Both system-provided templates and custom templates created by your agency will be available.
- If you Uploaded a PDF From Computer, the process is the same but without any predefined field mappings.
Use the drag-and-drop interface to place signature fields, initials, dates, and other placeholders where needed. If the document expects multiple signers, placeholders will be available for each signer. For example, you can design placeholders for up to three signers. If only one signer is required when the document is generated, the unused placeholders will remain hidden.

Once the placeholders are in place, save the template. It will now be available for use across the agency.
Benefits of Using Templates
Leveraging e-sign templates in Taino Solutions offers several advantages for your agency:
- Skip Repetitive Work – By using templates, agents avoid redesigning e-sign documents (e.g., adding signature placeholders) every time they need to send one. This saves significant time and effort.
- Automation-Driven Efficiency – Templates can be integrated with Automated Pipelines. Documents can be generated based on specific events, sent to customers as part of automated workflows, and returned with signatures to trigger further actions—without manual intervention.
- Consistency and Accuracy – Templates ensure consistent formatting and field placement across documents, reducing errors and improving the professional appearance of e-signed documents.
- Faster Turnaround – With pre-defined templates, documents can be sent for signing within seconds, speeding up workflows and customer responses.
