If the appropriate settings are enabled under the Administration → Settings → Notifications section, automatic invoicing is triggered for scheduled payments. This ensures that customers receive an invoice via email 15 days before the payment date, allowing ample time for payment preparation.

In addition to automatic invoicing, agents have the ability to manually invoice customers and send these invoices directly via email. This provides flexibility for handling one-time payments, custom charges, or any out-of-cycle billing needs. For agencies that have enabled Electronic Payments, the invoices automatically include a payment link, making it easy for customers to complete their payments online.

Invoices generated by the system are customizable, allowing agencies to update their structure and design to align with their brand. To edit the invoice template, navigate to the left navigation panel and go to Administration → Customizations → System Templates → Data Templates, and from the list, select the one called Policy Invoice. Here, the template can be personalized with your logo, brand colors, and other visual elements to maintain consistency and professionalism across all communications. This ensures that every invoice not only reflects the agency’s identity but also enhances customer trust and recognition.
